PURPOSE OF THE JOB
The purpose of the Helpdesk Manager is to lead the management of all CMMS & Planning activities across a prestigious sit in Cambridge.
Working in collaboration with the engineering Department, client pillar owners and end users.
Seek advice from the Management team and/or Pillar Leads on all matters pertaining to Planning, Regulatory and Statutory compliance and solutioning accordingly where required. Ensure that all employees and any other persons under your direct control work to client and company policies and procedures that apply to the contract.
Ensure employees under your direct control are fully competent and trained to facilitate CMMS Planning and scheduling tasks and receive regular communications on Contract performance and other information relevant to their job specification.
Responsible for overseeing the maintenance of the campus' Computerised Maintenance Management System (CMMS) data, while providing a comprehensive planning service to the operations team, ensuring full adherence to the necessary Regulatory and Statutory compliance processes.
Set clear performance objectives for each employee under your direct control and undertaking of annual performance appraisal with each direct report.
MAIN DUTIES AND RESPONSIBILITIES
Management of the sites Planning and Scheduling team.
Accountable for ensuring that Regulatory activities are carried out, in compliance with Client and Company policies and procedures as it applies to the Contract.
Developing a team of competent employees to support the operations team to facilitate maintenance of Plant and Facilities to ensure appropriate and correct operation, to efficiently and reliably operate within specification while ensuring that records are maintained in line with Operational, Regulatory and Statutory practice.
Duties and responsibilities include:
- Overseeing day to day operation of the CMMS team.
- Ensure assets are raised and adjusted properly, entering PPM Schedules and Task Plans
- Ensuring that the team adhere to the client processes for the management of additions, removals and modifications for all site assets.
- Ensuring that Work Orders are processed for PPMs and Corrective Work and properly issued to the correct Teams and administered correctly in SAP and documents archived where required.
- Control of critical instrumentation calibration certification and archiving
- Maintain documentation for the control of Pressure Systems and lifting systems
- Training of CMMS Users
- Conducting regular internal audits of work orders "cradle to death", correct use of SAP and its data quality
Assist in development of user instructions for the CMMS
- Providing CMMS reports for regular planning meetings and KPI/SLA reporting.
- Audit CMMS data quality using audit tools
- Monitoring outstanding maintenance schedules highlighting potential problem areas.
- Ensuring all work orders are scheduled in correct manner to the correct skillset
- Attendance at key account/stakeholder meetings
- Reporting of KPI's and Service Level failures
- Leading root cause analysis pertaining to Planning and Scheduling processes, when appointed to do so, where situations that deviate from the expected and found during maintenance activities on qualified equipment, systems and utilities, which could affect product quality.
- Ensure that employees are adequately trained to undertake the tasks that they are to perform and review of training records at least once annually to ensure that there is documentary proof prior to undertaking their current work
PERSON SPECIFICATION
Experience
[Essential]
- 5 years' experience in a planning role in an Engineering and Maintenance environment.
- Good level of Management experience.
- Previous CMMS experience.
- Strong problem-solving skills, technically adept and analytical.
[Desirable]
- Experience in working in the Pharma / Industrial Process / Manufacturing Industries
- Experienced in conducting and leading route cause analysis investigations and resulting corrective and preventative actions.
- Extensive computer literacy skills (excel, visio etc).
