About the Role

As a Facilities and IT Administrator, you will be joining our London team during an exciting period of growth which will see us moving to new office space in July 2020. You will be the first facilities colleague in our new London office and will play an instrumental role in supporting our facilities and office management to ensure its smooth running. In collaboration with the London Office Lead and our Cambridge-based facilities team, you will withhold our standards of exceptional customer service and will value the opportunity to support colleagues in a fast-paced and friendly environment.

Your responsibilities will include:

  • Supporting the office move project and assisting with the move itself
  • Taking an active role in creating a safe, tidy and professional environment with responsibility for day-to-day health and safety
  • Providing basic IT and telephone support for end users
  • Liaising with service providers and suppliers
  • Greeting visitors to the office with a high level of professionalism
  • Assisting the HR team in setting up for interviews
  • Maintaining essential office and kitchen supplies, including IT equipment

About The Role

Based in our Cambridge HQ, from which the IT is centralised across our global companies, the IT Administrator will work closely with the Senior IT Coordinator and our MSP to provide first-class support to colleagues.

Responsibilities will include:

  • Purchasing and setting up new IT equipment and supplies, such as laptops, desk phones and mobiles
  • Maintaining the global asset database, including the accurate inputting of data
  • Facilitating the relationship between the company’s MSP and colleagues, providing first line support where required
  • Managing, checking and issuing loan IT equipment for home workers or those attending external meetings or congresses
  • Administration of the Cambridge office telephone system and the company’s mobile phones
  • Creation and maintenance of IT-related documentation, including user guides and company policies
  • Assisting the Senior IT Coordinator in delivering a wide range of IT projects
  • Providing training to end users on the company’s IT and AV systems and associated equipment
  • Providing on-site training and assistance at the company’s London and Manchester offices
  • Other ad-hoc tasks in support of the rest of the IT team and Operations Division

About You

To be successful in this role you will need:

  • Ability to deliver high quality IT support with attention to detail
  • Fluency with Windows operating systems and Microsoft Office applications, in particular Word, Excel, Outlook, PowerPoint and Skype for Business
  • Strong customer focus with professional verbal and written communication
  • Initiative, positivity and creativity required to solve problems and offer ways to improve processes
  • Exceptional organisational skills, including the ability to plan and prioritise your own time and communicate this to others
  • Ability to remain aware of all facets of a project and their progress throughout the project’s lifetime
  • A good level of proficiency in written English and arithmetic
  • CompTIA A+ or other relevant qualification would be desirable, though is not essential

While previous relevant technical support experience would be helpful, this role is an excellent opportunity for someone that is looking to begin or develop their career in IT support. You will receive training and close mentorship from colleagues in the IT Team. Following completion of your probationary period, we will provide funding for you to acquire or maintain additional, relevant qualifications.

Aptitude in Adobe Acrobat, EndNote and MacOS would also be beneficial but not essential.

  • Troubleshooting, Problem Solving & Investigative Skills to Manage BAU Issues requests through to Resolution.
  • In-depth Knowledge & Understanding of Win 10 and Win 7

Business Infra Environment.

  • Experience and Knowledge of Microsoft Windows Security updates via Central Management Tool (CMCB / SCCM)

Understanding of Current PC Technologies and the issues involved in Supporting them, (e.g. Win 10, Office 2016, Mobile Device’s, Printers / MFPs etc.).

Experience in the following

  • Working with Asset Management Tools to maintain Inventory
  • Experience and understanding of Patching Processes / Activities alongside Security Management.
  • Installing / Upgrading Hardware & Software.
  • Excellent at providing Support both On-site and within a Remote capacity.
  • Using Remote Support Tools / Applications.
  • Using ITSM Toolsets (e.g. Service-now),

  • Ability to competently manage own Workload and time alongside strict SLA’s.
  • Excellent time keeping skills and willing to go that extra mile
  • Team Player both also confident to undertake tasks themselves.
  • Comfortable and confident in dealing with and Supporting all levels of Users / Customers Excellent Written and Verbal Communication skills.
  • A full clean UK current driving license
